Things to Include in an Emergency Event Kit

When working in the events industry, it is always important to have extra supplies on hand to be prepared for any event scenario. Maybe the client decided last minute they wanted to hang additional signage, or maybe their presentation file is too large to send via email. Emergency event kits will change for different projects or client needs, but here are some of our items we always make sure to bring on site:

  • Zip ties & tie line – helpful for creating openings and walkways through drape, and hanging signage and banners
  • Pliers, clippers, scissors, wire cutters, pocketknife and carpet shears – you might have to move that banner around a million times until it is just right!
  • Tapes: gaffers, spike, electrical and double-sided- for all the “gaffs” you will make, or an unexpected wardrobe malfunction! Staplers work as well.
  • First aid kit & Advil – because there WILL be a headache!
  • Power strips & extension cords – to keep the client’s laptops and cell phones charged all day. You don’t want to miss the opportunity to take a perfect photo for the social media campaign!
  • Measuring tape or laser measurer
  • Hand sanitizer – depending on the size of the event, there might be a long load in period. People are shaking hands and touching surfaces all day, and you don’t want to get sick for show day.
  • Flashlight – for viewing cable paths, patches, or showing guests the fastest way to the open bar!
  • Batteries – for remote controls and handheld mics
  • Gum/Mints
  • Small office supply kit- I cannot stress the importance of having a small office supply kit on site at every event! There are always last minute changes to scripts, or new videos and graphics to upload, so having these materials on site can keep the process running smoothly:
    • Hole punch
    • Binders
    • Copy paper/cardstock
    • Clear sheet protectors
    • Post-it notes
    • Sharpies, pens, pencils
    • Jump drives – for all those last minute changes from the client
    • Binder clips – for creating seamless lines in your run of drape
